Development Assistant

Under the guidance of the Database Manager, this position provides database and administrative support to the entire Development Team. Support includes entering prospect interactions, organizing and coordinating events, gift processing, creating database reports and assembling membership renewals. In addition, this role provides administrative support to a multi-year campaign and works closely with the Campaign Director.

Responsibilities Include:

Prospect Management Support

  • Prepare donor packets and acknowledgements as well as other meeting follow up
  • Make staff travel arrangements as needed
  • Create prospect profiles and briefings
  • Develop, update, and maintain orderly constituent database records, including entering prospect interactions and pulling prospect reports 
  • Provide administrative support for grants, including records management in the database
  • Prospect research using a wide variety of online resources

Campaign Support

  • Maintain updates to campaign reports including the master campaign list, gift chart, and gift log
  • Support steering committee, donor, staff and board meetings, which could include calendar management, assembling meeting materials, follow up, arranging food and beverage service, etc.
  • Provide note taking, including meeting minutes for campaign related meetings
  • Maintain and manage campaign marketing materials

Development Events

  • Coordinate events
  • Prepare and organize event materials - nametags, displays, sign in sheets, host briefings, etc.
  • Manage guest lists and invitations, from printing to RSVPs, to data entry


  • Take membership calls
  • Provide back up support for gift entry
  • Create, print, and collate monthly lists and appeals for Regular, Lapsed and Gift Membership mailed renewal solicitations
  • Maintain inventory of onsite development materials
  • Produce monthly membership lists for Welcome Center and Inn
  • Assist with training and support of Welcome Center and Inn staff

General Administrative

  • Manage department collateral inventory
  • Support reception managing incoming calls
  • Other duties as assigned
Qualifications & Requirements:

  • Knowledge of fundraising principles and ethics; discretion to handle confidential information

  • Attention to detail, highly accurate and organized
  • Strong analytical and decision-making abilities
  • Able to manage multiple projects with competing priorities to the highest standards in a timely manner while remaining flexible and having fun
  • Strong active listening skills and ability to synthesize information from multiple sources without a lot of context
  • Advanced computer skills required in the following programs: Microsoft Office Suite, Google Suite, and
  • Power Point
  • Knowledge and experience with Blackbaud Raiser’s Edge and NXT highly preferred
  • Preferred experience with iWave, a prospect research and wealth screening tool, and Flow, a project management tool


  • 3 years or more of administrative support experience in a fast-paced office environment preferred

Physical Factors / Working Conditions:

  • Office based; Ability to sit at a desk for most hours of the work day
  • Open desk area with minimal climate control
  • Available to work occasional weekends and evenings
